1. The free Stripe audit — nothing is stored

When you run the free audit, you paste a Stripe restricted (read-only) key. We use it in memory only, for the duration of that single request, to read your recent Stripe activity (charges, refunds, disputes, payouts, invoices, subscriptions, and your account details) and compute aggregate figures — gross vs. net revenue, refund and failed-payment rates, unmatched-payout totals, MRR, and your top revenue leaks.

We do not store your Stripe key and we do not retain any of your Stripe data after the report is returned. The only thing recorded is an anonymous analytics event (a random cookie id and the step name — for example "audit completed"), which contains no financial data and no personal identifiers.

2. The paid product — what we store

If you create an account and connect your data, we store what's needed to reconcile your books: your email address; a mirror of your Stripe transaction data (charges, payouts, refunds, disputes, subscriptions, invoices, customers); computed metrics; and the reconciliation entries we propose or write to QuickBooks.

Your Stripe API key and your QuickBooks OAuth tokens are encrypted at rest. We authenticate you with passwordless magic links rather than storing passwords.

3. Sub-processors

We rely on the following third parties to run ReconcileAI. Each processes only the data needed for its function:

  • Stripe — payment processing (our own billing) and the source of your revenue data.
  • Intuit / QuickBooks Online — the accounting system we read from and write to on your behalf.
  • Resend — transactional email (magic links, alerts, close reports).
  • Anthropic — generates plain-English report narratives and powers agent analysis. Data sent for generation is minimized — we strip customer names and email addresses before anything is sent.
  • Sentry — error monitoring (when enabled). Payloads are scrubbed of secrets before they leave the app.
  • Hosting provider — [owner to set; e.g. the VPS/cloud host] runs the application and database.

4. How we use your data

We use your data only to provide the service: to reconcile Stripe against QuickBooks, compute your metrics, generate reports and alerts, and communicate with you about your account. We do not sell your data or use it for advertising.

5. Retention and deletion

We retain your financial data while your account is active. You can delete all of your data at any time from Settings → Danger zone. When you do, we remove all of your account-scoped records — your Stripe mirror data, metrics, reconciliation entries, alerts, mappings, agent activity, recovery/outreach records, and connection credentials — from our systems.

On account deletion, your data is deleted within 30 days (owner to confirm the exact window).
